Resignation letter with notice period
A polite one-page resignation letter for Malaysian employment: it states that you are resigning with the notice your contract requires, names your last working day, offers a proper handover, and keeps the tone warm. If the contract is silent, the Employment Act 1955 sets four weeks' notice for under two years of service, six weeks for two to five, and eight for five and more, and the letter says which applies. Tell the AI your role, company and notice period and it rewrites the sample in your words.

How to use these templates
- Read the notice clause in your offer letter or contract. If it says one month, your last day is one month from the day you hand in the letter.
- Open the template and tell the AI your position, company and last working day, and whether you are offering to help recruit or train a replacement.
- Add any practical requests: unused annual leave, the EA statement, or confirmation that your final salary will be paid on the last day.
- Email a PDF to your manager and HR and hand in a signed printout; ask HR to acknowledge the date in writing.
Resigning properly in Malaysia
- The contract decides the notice period, and it must be the same length for both sides. The Employment Act minimums apply only when the contract says nothing.
- You can pay in lieu of notice, or your employer can, if you need to leave sooner; agree it in writing so the deduction is not a surprise on your final payslip.
- Unused annual leave is usually paid out or set off against notice; ask HR which applies before you set your last day.
- Your final salary is due within seven days after the last day under the Employment Act. EPF and SOCSO contributions continue to that date.
- Keep the reason short and the letter gracious. Industries in Malaysia are small and reference checks are common.
Frequently asked questions
What is the minimum notice period in Malaysia?
Whatever the contract states. If the contract is silent, the Employment Act 1955 sets four weeks for less than two years' service, six weeks for two to under five years, and eight weeks for five years or more.
Can I resign with 24 hours' notice?
Only by paying salary in lieu of the notice period, or if the employer agrees to waive it. Leaving without notice can mean a deduction equal to the notice pay.
Does the employer have to accept my resignation?
Yes. Resignation is a notice, not a request. The employer can only hold you to the notice period or accept payment in lieu.
What happens to my EPF?
Your EPF stays in your account and your next employer contributes to the same number. Nothing needs to be transferred.
