Experience letter format
An experience certificate that employers issue when someone leaves, on company letterhead, confirming the employee's designation, department, dates of joining and leaving, main responsibilities and conduct. A matching relieving letter is included for the same exit.

How to use these templates
- Open the experience letter and enter the company details and a reference number.
- Tell the AI the employee's full name, ID, designation, department and dates of joining and leaving.
- List three or four main responsibilities, and confirm the conduct line is accurate.
- Paste it onto letterhead, have an authorised signatory sign and stamp it, and give the employee a signed PDF as well.
What an experience letter must include
- Exact dates of joining and leaving in DD/MM/YYYY. Background verification companies check these against payroll and PF records, and a mismatch delays the employee's next job.
- The designation the employee held at exit, with the department. If they were promoted, you can list earlier designations too.
- A reference number and the date of issue, so the letter can be verified by phone or email later.
- Signature, name and designation of an authorised person, usually from HR, with the company seal.
- Keep the wording factual and neutral. An experience letter is not a reference letter; personal praise belongs in a separate recommendation.

Is an experience letter the same as a relieving letter?
No. The experience letter describes the job and conduct; the relieving letter confirms the resignation was accepted and the employee was released. Many companies issue both together on the last day.
Can an employer refuse to give an experience letter?
Policies differ, and companies sometimes delay it until notice and handover are complete. Ask HR in writing and keep payslips and your offer letter as backup proof of employment.
Do I need an experience letter for a visa or abroad?
Often, yes. Skilled worker visas and professional bodies abroad usually ask for an employer letter with dates, hours per week and duties. Ask the AI to "add weekly hours and salary" if they require it.
