Invoice template for Malaysia
A clean invoice in the format Malaysian clients and accountants expect: your business name and SSM registration number, the customer's details, an invoice number and date, line items with quantity and unit price in ringgit, a subtotal, the SST line for registered businesses, the total, payment terms, and the bank name, account number and DuitNow ID for transfer. The sample bills a web design job from a Shah Alam sole proprietor; the AI changes the items, the tax and the names in a sentence.
Templates

- Invoice (document): A clean invoice for freelancers and small businesses with your business header, invoice details, a line-item table, subtotal, tax, total due and payment terms. Sample content included.
- Invoice (Excel) (Excel spreadsheet): An auto-calculating invoice in Excel: line items, subtotal, discount, tax, total, amount paid and balance due, laid out to print on one page.
How to use these templates
- Have your SSM number, the customer's full name or company, and your bank details ready; if you are SST-registered, your SST number and the rate for your service.
- Open the template and tell the AI what to bill: "RM 4,500 for a five-page website, 50% deposit received, balance due in 14 days".
- Check the SST line: leave it out if you are not registered, and never charge it on an invoice that does not show your registration number.
- Download as PDF to email, or keep a Word or Excel copy to number the next invoice from.
Invoicing in Malaysia
- Only SST-registered businesses charge sales or service tax, and the SST number must appear on the invoice. Below the registration threshold, show no tax line at all.
- Number invoices in one unbroken sequence per year; auditors and e-Invoice validation both expect it.
- E-Invoicing through LHDN's MyInvois is being phased in by turnover. If your business is in a phase that has started, the invoice must also be submitted for validation and carry the QR code; this template is the human-readable copy.
- Put the DuitNow ID or QR next to the bank details. Most Malaysian clients pay by transfer the same day when it is there.
- State the due date as a date, not "net 14". Late payment interest is only collectible if the invoice or contract states it.
Frequently asked questions
Do I need an SSM number on my invoice?
Yes for any registered business, including sole proprietors. Customers' accountants will ask for it, and it is required for e-Invoice.
When do I charge SST?
Only once you are registered for sales tax or service tax with the Royal Malaysian Customs Department, which is compulsory above the annual threshold for your category. Then the rate for your taxable service applies.
Is this valid for e-Invoice?
This is the printable invoice. E-Invoice is a separate submission to MyInvois; once validated, the validated version with its QR code is what you send to the customer, and this layout can carry that code.
Can I invoice in a currency other than ringgit?
Yes, for foreign clients. Show the currency clearly and, if you are SST-registered, the ringgit equivalent for the tax line.
